The first is the document layer — printers, copiers, scanners and plotters, the software that controls and reports on printing, and the workflows that carry paper into your systems. The second is the workplace layer that newer Mumbai offices are built around: conference rooms that join a call in one touch, visitor kiosks instead of a register, biometric doors, smart locks, video door phones, lighting that responds to occupancy. SNA Infotech supplies, installs, integrates and then supports both — with our own engineers, across Mumbai and the Vasai-Virar belt.

How we look at it

Four stages every document passes through

We do not sell boxes in isolation. Each stage below has hardware, software and a service element, and problems in one stage usually show up as cost in another.

STAGE 01 Capture Scanners, MFP scan panels, wide-format scanning, OCR into searchable PDF. Paper in, data out STAGE 02 Control NDD360 or MyQ, secure release, quotas, colour policy and chargeback. Multifunction printers & copiers

A4 and A3 devices from HP, Xerox and Lexmark — print, copy, scan and fax in one machine, sized by floor and department rather than bought one desk at a time.

We size the fleet against real page volumes, place devices where the walk is short enough that people actually use them, and standardise drivers so IT supports one build instead of nine. Available on purchase, rental or a managed contract.

Production & high-volume print

Department and print-room class devices with finishing — stapling, booklet making, hole punch and high-capacity trays.

For back offices, admissions cells, exam departments and in-house print rooms that would otherwise be sending work out. Includes paper-handling advice and duty-cycle sizing so the device is not run past its rating.

Large format printers, plotters & scanners

Xerox and HP wide-format devices for drawings, proposals and site documentation, across plain paper, vellum, film and translucent media.

Suits architecture, engineering, construction and manufacturing teams. Uniform-sized drawing sets, graphic enlargement for presentations, and wide-format scanning to bring existing drawing archives into digital form.

Document scanners & capture devices

ADF and flatbed scanners including the HP ScanJet Pro N4600 fnw1, plus scan-capable MFPs configured to send straight into your systems.

Duplex, mixed-batch and ID-card scanning, with destination profiles set up per department so users press one button rather than navigating a folder tree at the panel.

Genuine consumables & supply management

Original HP, Xerox and Lexmark cartridges, drums and maintenance kits, with stock held for the models we support.

On managed contracts, toner is triggered by device alerts and shipped before the cartridge runs out — no cupboard full of the wrong part numbers, and no month-end scramble.

Printer AMC & on-site service

Annual maintenance for the print fleet you already own, through our own service centre and field engineers.

Comprehensive or labour-only cover, defined response times, preventive visits and standby units on long repairs. We service devices we did not sell you.

Managed Print Services

Print management software on top of the fleet — NDD360, XWS and MyQ — so printing is measured, controlled and billed rather than assumed.

We run print audits, deploy the platform across sites, set policy, and report monthly. Typical outcomes: colour restricted to who needs it, duplex enforced by default, and a real number for what printing costs each department.

Secure print release

Jobs are held at the server until the user authenticates at the device with a card, PIN or biometric — nothing sits uncollected on the output tray.

Follow-me printing lets a user release the same job at any device in the estate. It also cuts waste: jobs never collected are automatically purged, and they are the ones nobody would admit to sending.

Scan-to-workflow & OCR

Scan straight to email, network folder, SharePoint or a document system, as searchable PDF rather than a flat image.

One-touch profiles per process — invoices, admission forms, delivery challans, HR files — so the document lands in the right place named the right way, without a person renaming files afterwards.

Records digitisation

Back-scanning of existing paper archives into indexed, searchable digital records.

Run as a project with rented capture hardware and, where needed, an engineer on site — so the drive finishes on a date instead of running quietly for two years on a borrowed scanner.

Quotas, chargeback & reporting

Per-user and per-department quotas, cost-centre allocation and monthly reporting on volumes, colour mix and cost.

Useful wherever printing is recovered from someone else — schools charging print credit, shared-service centres billing business units, project sites recovering costs against a job number.

Fleet monitoring & alerts

Devices report status, counters and consumable levels centrally, so faults and low toner surface before a user calls.

Meter readings are collected automatically for billing. Across multiple sites this is the difference between managing a fleet and reacting to it.

Business email & Microsoft 365

Email on your own domain, with mailboxes, shared inboxes, distribution lists and calendars set up properly from the start.

Includes SPF, DKIM and DMARC records so your mail reaches inboxes rather than spam folders, plus migration from existing hosting with mail history intact.

UPS, inverter & power backup

Battery backup that rides through power cuts and voltage dips — keeping workstations, the server room, network switches, CCTV and access control online instead of dropping mid-task.

Load survey and runtime sizing; line-interactive UPS for desks and single machines, online double-conversion UPS for servers and network racks, and inverter-plus-battery-bank systems where longer autonomy is needed. Covers tower and rack form factors, stabilisation against brownout and low-voltage conditions, automated safe shutdown for servers, and AMC with scheduled battery-health checks and replacement.

Secure disposal & device wiping

Shredding equipment for paper, and certified data wiping on printers, copiers and computers before they leave your premises.

Multifunction devices hold images of everything they have scanned and printed. Any device we remove is wiped and a certificate issued against the asset tag.

Conference & huddle room packages

All-in-one video bars, wireless presentation and one-touch join — sized for the four-seat huddle room up to the boardroom.

Camera, microphone and speaker in a single bar for small rooms; separate ceiling mics and a PTZ camera above roughly twelve seats. Certified for Teams, Meet and Zoom, with wireless sharing so visitors do not need a cable or a driver. Larger multi-room builds, video walls and auditoriums go to our AV integration team.

Room & desk booking panels

Tablets outside each room showing who has it and until when, tied to Microsoft 365 or Google Workspace calendars.

Occupancy sensors release a room automatically when the booker does not turn up — usually where most of the "no rooms available" complaint comes from. Booking data then tells you which rooms are genuinely used before anyone builds more.

Visitor management & reception kiosks

Self-service check-in with QR pre-registration, ID capture, photo badge printing and automatic host notification.

Replaces the register at the front desk. You get a live list of everyone in the building for evacuation, an NDA or safety induction captured at check-in where required, and a searchable visit history.

Biometric access control & attendance

Face recognition, fingerprint and palm readers on main doors, cabins and restricted areas — doubling as the attendance system.

Face readers have largely replaced fingerprint at main doors: faster, contactless, and workable with gloves. Punches export to your HRMS or payroll so attendance stops being a separate monthly collection exercise. Anti-passback and time-based rules where the area needs them.

Smart locks & keyless entry

Card, PIN, mobile-credential and app-controlled locks for cabins, stores, server rooms and after-hours entry.

Credentials are issued and revoked centrally, so an exit or a lost card is one click instead of a locksmith. Every door keeps an audit trail — worth having on server rooms, HR cabins and record stores.

Video door phones & IP intercom

See and speak to whoever is at the main door, the gate or the service entrance — from reception, from a cabin, or from a phone.

IP intercoms tie into the access system so the same call can release the door. Particularly useful in Mumbai commercial buildings where the office entrance is nowhere near where anybody sits.

Smart lighting & occupancy control

Lighting that responds to occupancy and daylight instead of running at full brightness from nine to nine.

Zoned control with scene presets for meeting rooms and cabins, daylight harvesting along window rows, and after-hours auto-off. Retrofit options exist for a fitted-out floor — you do not always need to go back into the ceiling.

Smart HVAC, blinds & air quality

Scheduled and sensor-driven air conditioning, motorised blinds, and CO₂ and PM2.5 monitoring in occupied areas.

Air quality sensing became a standard ask after 2020 and carries points in IGBC and LEED fit-outs. Controls run standalone or report into the building management system where the landlord operates one.

Reception signage & wayfinding

Screens at reception, in lift lobbies and on floors carrying visitor welcomes, notices, dashboards and directions.

Scheduled centrally from one player, so a change goes out once instead of being walked floor to floor on a pen drive. Ties into visitor management to greet expected guests by name.

Energy monitoring & dashboards

Sub-metering by floor or by system, with consumption dashboards that make wastage visible.

Pairs with lighting and HVAC control on the sensible order of operations: measure first, then automate the two or three things that account for most of the bill.

Occupancy analytics & people counting

Anonymous sensors showing how full the floor, the cafeteria and each meeting room actually get through the week.

Manage

We supply, install, integrate and then support all of it.

Managed print combines the devices, the consumables, the service and a print management platform such as NDD360 or MyQ under one contract with agreed service levels and monthly reporting. It usually pays off above roughly thirty users or three sites, or wherever nobody can currently say what printing costs.

Yes. Print management software and secure release run across mixed fleets, and our AMC covers devices we did not supply. We would rather extend the life of working hardware and phase in replacements at the right point than propose a wholesale swap.

We do. We service installed EPABX, KTS and voicemail systems including the Panasonic KX-TVM range, supply spares while they remain available, and plan an IP telephony migration when it suits you rather than when the system fails.

Yes. Multi-site fleets are where managed print earns its keep — one platform, one set of policies, consolidated reporting and a single service desk, whether the sites are across Mumbai or across the state.

No. The same devices are available on purchase, on rental, or on an Opex managed contract where you pay a monthly rental plus a per-page rate with toner and service included.

Yes — cabling and Wi-Fi, print, meeting room AV, access control, visitor management, lighting control and signage under one project plan with a single point of contact, so the systems are commissioned to work together rather than handed over separately by five vendors.

Most of it. Everything inside your demised area — access control on your doors, meeting rooms, lighting control, sensors, signage — is yours to specify. Where the landlord runs a central building management system we integrate with it under their permissions rather than duplicating it.

Access control and visitor management, because they are hard to retrofit gracefully, and meeting rooms, because they are what people complain about from day one. Lighting control goes in during the fit-out while the ceiling is open. Energy dashboards and occupancy analytics are better added once you have a few months of normal working to measure.

They can, and that is usually the point. Visitor check-in can trigger a welcome on the reception screen and a temporary access credential; occupancy sensing can drive both lighting and room release; access events and attendance can feed the same HR system. We agree the integrations at design stage, because retrofitting them across brands afterwards is where these projects get expensive.

We size and supply both. Line-interactive UPS covers individual desks and single machines; online double-conversion UPS protects the server room and network racks with clean, uninterrupted power; and where you need longer autonomy across a floor we add inverter-plus-battery-bank systems. Sizing comes from a load survey and the runtime you actually need, and we cover it under AMC with scheduled battery-health checks and replacement so it does not quietly fail the day you need it.
