An A3 multifunction printer is not a bigger desktop printer. It carries five or six thousand sheets, runs tens of thousands of pages a month, costs materially less per page at volume, and can staple, punch and fold the output before anyone touches it. For a floor currently fed by four desktop units and a weekly trip to a print shop, one A3 MFD usually replaces the lot.
We supply HP Managed, Xerox AltaLink and VersaLink and Lexmark A3 devices as an authorised dealer, and we size them from a site survey rather than a brochure. Buy it, rent it monthly, or put it on a managed print agreement — we will quote whichever fits your budget structure.
An A3 device is a real commitment of capital and floor space. Here is when it earns that, and when we would steer you to an A4 MFP instead.
Drawings, large spreadsheets, price lists, menus, two-up booklets. If A3 work is going to an outside print shop every week, an in-house device usually pays for itself inside a year.
A3 MFDs carry far more paper — 5,000 to 6,000 sheets across trays — and much higher monthly duty cycles, so one device replaces several desktop units and the toner runs they each needed.
Stapling, hole punching, booklet-making and folding happen in the device rather than at somebody’s desk. For tender submissions and board packs this is the whole argument.
A3 MFDs have proper duplex ADFs built for batch work, and ConnectKey or HP workflow apps that put scan-to-email, scan-to-folder and scan-to-cloud on the panel.
Departmental A3 devices have a materially lower cost per page than desktop units at the same volume. Above roughly 8,000 pages a month, that gap is where the savings sit.
If A3 is a few sheets a month, an A4 MFP plus an outside print shop is cheaper and takes less floor space. We will tell you that rather than sell you a copier you will not fill.
Size at roughly half the stated monthly duty cycle. A device run at its ceiling every month jams more, wears its fuser faster and sees our engineers more often than anybody wants.
| Monthly volume | What to look at | Typical configuration |
|---|---|---|
| Under 5,000 pages / month | A4 MFP, or an A3 device only if A3 work is frequent | A3 capacity will sit unused; an A4 MFP plus occasional outsourcing is cheaper |
| 5,000–10,000 | Entry A3 department MFD | VersaLink B7125 class, or HP Color LaserJet Managed E785dn for colour |
| 10,000–40,000 | Mid-range A3 department MFD | VersaLink C7130 or AltaLink B8245 class, with extra trays and a stand |
| 40,000–100,000 | High-volume A3 with finishing | AltaLink B8255/70 or HP Managed E826dn, with stapling and booklet options |
| Above 100,000 | Print-room configuration, often more than one device | AltaLink C8270 or HP E877 class, usually paired with a managed print agreement |
Six devices covering everything from an entry A3 department unit to a full print-room configuration. Figures are the manufacturers’ published specifications.
The A3 mono workhorse for high-volume floors and print rooms, with a 10.1-inch panel and HP Wolf Security.
A3 colour for a department rather than a print room — the usual starting point when colour A3 arrives in-house.
The A3 colour flagship, for marketing teams, in-house print rooms and anyone outsourcing colour work today.
Department-grade A3 in mono (B7125/30/35) and colour (C7120/25/30), with a 7-inch touch panel and ConnectKey apps.
Print-room A3 with the biggest duty cycles we deploy, a 10.1-inch panel and the full finishing catalogue.
A3 colour aimed at print-heavy teams and jobbers, where colour volume is the point rather than an occasional extra.
The base device is rarely the whole quote. These are the options that change how a floor actually works, priced as line items so you can see what each one buys you.
The one drawback of consolidating onto a shared A3 device is that documents sit in an output tray where anyone can pick them up. Card-reader or PIN release holds each job until the person who sent it is standing at the panel — worth specifying for HR, finance and legal floors. Our cybersecurity team can take that further where print security is part of a compliance requirement.
We look at the floor: where the device goes, the power and network point, how far people will walk, and what paper is stored nearby.
Your mono and colour page counts, how much is genuinely A3, and the finishing you need. That gives the model and the duty-cycle headroom.

Most existing devices will print a usage report from the panel. Send us that and we can size from real numbers rather than estimates.
A device that prints, copies and scans up to A3 paper size (297 × 420 mm, twice A4) in one unit. In practice an A3 MFD is also a much heavier machine than an A4 one: far more paper capacity, a higher monthly duty cycle, a lower cost per page and the option of finishing such as stapling and booklet-making. Most are floor-standing with a stand or cabinet.
Start with your monthly page count, split mono and colour, and work out how much is genuinely A3. Then size the device at roughly half its stated monthly duty cycle, so it has headroom. The sizing table above gives the usual bands; send us your numbers and we will name a model.
If colour A3 is going outside to a print shop regularly, bring it in — the device pays for itself in avoided jobs and turnaround time. If colour is occasional and mostly A4, a mono A3 device plus a smaller colour A4 MFP is usually the cheaper pair. Colour A3 devices also cost more per page, which matters at volume.
Yes, and A3 MFDs are our most-rented category. A fixed monthly rental covers the device, toner, spare parts and service, which suits project offices, seasonal peaks and opex-only budgets. See printer on rent in Mumbai.
Not a special room, but do plan for it. A fully configured A3 MFD with a finisher occupies a footprint of roughly a small desk, needs clearance on the service side, and should sit on a dedicated power point rather than sharing an extension board with six other things. We check all of this during the site survey.
Extra paper trays and high-capacity feeders, a stand or cabinet, stapling finishers, a booklet maker with saddle stitch and fold, hole punch units, duplex ADFs, and card-reader or PIN release for confidential printing. Which of these are available depends on the model — we quote them as line items so you can see what each one costs.
Usually half a day on site for the device, its trays, a stand and the network configuration, plus scan-destination setup against your mail server or Microsoft 365 tenant. A finisher adds time. Where a device replaces an existing one, we schedule the swap so the floor is not without print capacity in between.
The figure that matters is cost per page, and it depends on the model, the toner yield and your mono-to-colour mix. It is lower on a departmental A3 device than on desktop units at the same volume, which is the core economic argument for consolidating. We put the per-page cost in the quote so the comparison is on paper rather than implied.
Yes — and on a device a whole floor depends on, it is worth having. Comprehensive or non-comprehensive cover, with a contracted response time, scheduled preventive maintenance and genuine spares. See printer AMC and repair in Mumbai.
Monthly mono and colour volume, how much is genuinely A3, the finishing you need and how many people will share it. We will survey the floor and come back with a configured quote.
